How Presenter Upload collects, uses and protects information for conference organisers, their teams and presenters.
Information we collect
We collect account details (such as name and email), organisation and conference details you enter, presenter submission details, uploaded files and basic technical data (such as device, browser and usage events) needed to operate and secure the service.
How we use information
We use information to create and run your conference workspace, deliver presenter uploads, match files to sessions and rooms, provide support, send service and confirmation emails, process payments and keep the platform secure.
Presenter uploads
Files uploaded by presenters are stored so organiser and AV teams can review and hand them over. Original filenames and upload history are retained for traceability. Files are associated with the conference they were uploaded to.
Sharing and third parties
We use trusted providers for authentication, file storage, email delivery, payments and Google Drive integrations. They process data on our behalf under their own terms. We do not sell personal information.
Data storage and security
Data is stored using reputable cloud infrastructure with access controls and encryption in transit. We apply reasonable technical and organisational measures to protect it, though no online service can guarantee absolute security.
Data retention
Conference and submission retention follows the recorded event agreement. New event agreements provide cloud retention through 90 days after the event, with advance notices, extensions and deletion holds. Legacy terms remain recorded separately. Required accounting, security and legal records may follow different retention periods.
Your choices and rights
Depending on your location you may have rights to access, correct, export or delete personal information. Organiser admins can manage much of their workspace data directly. For other requests, contact us.
International users
Presenter Upload operates from New Zealand and may process data in other countries through our providers. Pricing is shown in NZD and GST applies where relevant.
